Parents and carers access GroupEd through the **GroupEd parent app**. They need to receive an invitation email before they can register. School Admins can send invitations in two ways: from the **Students & Staff** page (for quick sends), or from the **Contact registrations** page (for targeted, class-by-class campaigns with uptake tracking).
**Admin only.** The **+ Invite people** button and the Contact registrations page are only accessible to Admin accounts.
## Method 1 — Invite from Students & Staff
Use this when you want to quickly send invitations to selected families.
1. From the home page, go to **Students & Staff** (`/#/students-employees-groups`).
2. Click the **+ Invite people** button (top right of the page). 
3. The **New message** screen opens (`/#/messages/invite-users/1`).
4. In the right-hand panel, use the **Students** tab to select individual pupils, the **Groups** tab to select a whole class or year group, or tick **All** to select everyone.
5. Click **Invite users** to send.
Each parent or carer contact linked to the selected pupils receives an invitation email with instructions to download the parent app and register.
## Method 2 — Invite from Contact registrations
Use this when you want to see exactly who has and hasn't registered before sending, or when you want to send class-by-class.
1. From the home page, go to **Insight** → click the **Reports** card.
2. Click the **App signup Reports** card.
3. The **Contact registrations** page opens (`/#/reports/contact-registrations`).
4. In the **Student Reg Groups** section, expand a class row.
5. Select contacts using the **Priority 1**, **Priority 2**, or **All** checkboxes, or tick individual contacts.
6. Click **Invite X Contacts** (top right of the page) to send.
**Alerts.** Before inviting, check the top of the page for any warnings:
> - "X students have a potential duplicate contact" — click **View duplicates** to review before inviting.
> - "X students have no email set" — click **View no emails** to identify contacts who cannot receive an invitation until an email address is added.
> - "WhatsApp chase — not signed up parents" — use the **Invited, not signed up** or **Not yet invited** buttons to send WhatsApp reminders to parents who haven't registered.
## After sending
- Invited contacts appear with an **INVITED** badge showing the date the invitation was sent.
- Once they download the app and register, the badge changes to **REGISTERED**.
- Track uptake per class in **Contact registrations** (`/#/reports/contact-registrations`) — the uptake percentage and counts update as contacts register.
- Export the table to **PDF** or **Excel** for reporting.
## Troubleshooting
| Issue | Action |
| Parent says they did not receive an invite | Confirm their email address is correct in the contacts, then resend |
| App Signup Report shows "X contacts have no email set" | An email address must be added to the contact record before they can be invited |
| "X students have a potential duplicate contact" alert | Click **View duplicates** to review and resolve before inviting |
| Contact registered but cannot log in | Ask them to use the **Forgot password** link on the app login screen |
| **+ Invite people** button not visible | You must be logged in as a School Admin |
| Reports card not visible in Insight menu | The Reports feature must be enabled for your school — contact GroupEd support |
