Inviting Parents/Carers to use GroupEd

Before invitations are sent, we recommend informing the parents/carers that they will be receiving an email inviting them to use GroupEd. This will ensure that no invitation emails are deleted or ignored as spam.



To action the invites you will need to do the following:


1. Navigate to the left-hand side and select the 'Admin' header. 



2. You should then see the first option as 'Students & Staff', click into this.

This will take you straight into the messaging screen - if you click on the option to 'Invite People' in the top right-hand corner, it will pre-populate an invitation email and subject (you can edit this if you would like to).



3. You will now need to choose who you'd like to send this email to and invite to GroupEd. You can choose from Students, Groups and Staff. In this case we're inviting parents/carers - if you select the 'Students' option, it will list all the students within the school, by selecting a student you can invite the parent(s)/carer(s) associated (the contact details for parents/carers are synced from your MIS via Wonde).


You can navigate to the 'Groups' section if you'd like to filter by year and tutor groups/classes.



4. You can either choose to invite All Parents/Carers by checking the 'All' box, alternatively, you can invite individual parents/carers by using the search function and selecting those individual students. Once they have been selected you will see a little blue box, with a white tick appear on the right-hand side of the student names (as shown below).

Each student displayed in this list will show their full name, year and tutor group which will ensures that the correct parents/carers are invited. As shown above it also shows how many contacts are available i.e. '0/3'. This tells us that there are 3 contacts available and the 0 means none of them have active accounts. 


Each contact will have a different priority, during the invite you can select which priority contacts you wish to invite (see step 6). 



5. Once you have chosen who you'd like to invite you will see the Recipients text on the left hand side of the screen go from Recipients (0) to a dark blue colour with the number of recipients in the brackets. 



6. Next is to select which priority contact should receive this invite. Under Recipients you will see a drop down box - here you will need to select the most relevant option to who'd you like to invite, however we would recommend choosing 'Send to all Contacts with Main and Secondary priority'. This will ensure that each  student (if available) will have both of their parents/carers invited to use the system. This may be especially important in single parent households. 

Now that this has been selected, you should see a list of names under Students or Groups at the bottom of the left hand side of the page.



7. The final step is to click on the 'Invite Users' button at the bottom of the screen and the invitations for GroupEd will go to the registered email address, associated with that parent/carer (this is synced over from your MIS). 

The invitations have now been sent.



What should the recipient expect? 

1. The recipient will receive two emails:


First Email: this will inform the parent/carer they have been invited to use GroupEd and to keep an eye out for a secondary email with their temporary sign in credentials.


Second Email: this should be received straight after the first email, this will contain their temporary password (this invite is valid for 7 days). 

  

2. We have made this as easy as possible from here - the parent/carer needs to click on the Login section of their email and it will take them straight to our website for sign in (it will autofill their details along with the temporary password).


3.  They can now click to sign in. It will then take them to a page to reset their temporary password (the password requirements are listed).


4. Once they have created their new password, they will have access to your new GroupEd system.
