Using the Contact Registration Report for Parents/Carers

Once you have invited your parents/carers it is always important to follow up and see how many have registered to ensure that the parents have access to all the different functions of GroupEd. 


Please note that even if you have invited a parent/carer and they have NOT registered - they will still receive messages that you send through GroupEd via an email. They will however not have access to any of the GroupEd features other than this.


In order to access the Contact Registration report you need to click into Reports on the left hand side of the screen, and then into Contact Registration onthe third tab on the reports page - if you do not see the Contact registrations tab then please drop us a line on Support@GroupEd.org.uk - so we can investigate and remedy this.


Once you have clicked on this report it will show straight away. 


At the top of this screen you will see a blue button named View Duplicates - next to this may be some text letting you know if GroupEd thinks it has pulled some duplicate information over from your MIS. This may include mispelling of names, or typos within email addresses.

For example you may have a parent/carer with two children in the school, and they have been added to the MIS with slightly differing details e.g. John Smith and John M Smith both with the same email address.  It will also tell you the MIS ID number so you are able to find the duplicates or issues within your MIS and correct.  


Once corrected there are two options:


1. You can go into the student profile in GroupEd and click Refresh and the Student details will be pulled over from your MIS and updated in GroupEd.


2. Once updated in your MIS you can wait for the overnight student details pullover that GroupEd and your MIS will do automatically.


The rest of the report will show you essentially how many of your parents/carers have registered using the invitation email.


It is split into an All section and then split again into your Schools Classes.  This will help you see the perecentage of uptake across your classes, and therefore enable you to target certain classes for GroupEd promotion.


The Uptake is displayed as a percentage - this percentage is a workings out of 'Count at least one registered' vs 'Count of students'.  


The further breakdown shows you how 'Count at least one registered' - this is the number of students who have at least one of their priroities registered on the system.


The 'Count invited but none registered' - this is the number of students who have invited Main and Secondary Priorities but has had NO registrations on GroupEd.


The Student Count tells you how many Student have had priorities invited.


Under each class and all sections you will be able to see a summary of:


1. Possibly show up some issues with priorities and any admin errors, which were pulled up in the View Duplicates button.


2. Parents/carers from this list that have not yet received an invitation email. You will be able to invite these parents from this list.


If you scroll down slightly further you will see the break down of each student - including which of their priorities have registered, and when they last logged in.
